LUMS AGM Election Protocol

NOMINATION PROCEDURE

1.    The nominated candidate must be registered as a member of Leicester University Malaysian Society.

2.    For each post, maximum of three (3) candidates are allowed to nominate.

A reminder: It is common not to nominate for the final years and third year medical students as they have big exams coming soon.  However, they still have the right to run for any positions if they wish.

3.    The same candidate can be nominated for different posts.

4.    All current LUMS committee can be re-nominated.

5.    All nominations can be submitted between 00:01 10/04/11 and 23:59 30/04/11. Nominations submitted after the time and date mentioned will not be entertained.

ELECTION PROTOCOL

1.    The current LUMS committee will choose the three (3) most nominated candidates to be voted among the LUMS members during the Annual Grand Meeting (AGM).

2.    The three short-listed nominated candidates will be informed personally at least four (4) days before the AGM day.

3.    Each nominated candidate is allowed to conduct their own manifestos on the day of AGM. This shall be followed by questions and answers session.

4.    A new committee member shall be elected using the first-past-the-post voting method.

5.    Members of the hall will cast their votes by putting a mark ( X ) in a box on the ballot paper corresponding to a candidate of the voter’s choice.

6.    Depending on time, the results will be announced straight away.

SCENARIOS

1.    If the nominated candidate refuses to take part in the election, the election committee will respect the candidate’s decision.

2.    If the nominated candidate is not able to show up on the AGM day, but with a strong and valid reason, he/she is still able to be voted during the election process if he/she consented to it. On this note, it is advisable for this particular candidate to provide a manifesto; hence it can be announced to the members of the hall.

3.    In the situation where the nominated candidate is short-listed for two or more different posts, the candidate is allowed to opt for the post that he/she wishes to hold. The rejected post is now contested by the remaining short-listed candidates only.

4.    Ties Recounting of votes will be done by the election committee as soon as they discover a tie. If there is still a tie, then revoting of only the two involved candidates

will be done.
